Team Workspace Setup Checklist: Start Clean in Notra

A practical checklist for setting up a focused Notra team workspace before notes, files, AI outputs, and tasks begin to pile up.

Why setup matters

A workspace becomes useful when everyone understands what belongs there. Before a team starts adding notes and files, it helps to define a few simple rules.

The goal is not bureaucracy. The goal is to make the workspace easy to scan, search, and trust.

1. Name the workspace clearly

Use a name that explains the project or operating area. Avoid vague names like "New workspace" or "Internal."

Examples:

  • Q3 Launch Plan
  • Client Onboarding
  • Product Research
  • Content Operations

2. Create the first core pages

Start with a small set of pages:

  • Overview
  • Decisions
  • Meetings
  • Tasks
  • Files and references

You can add more later. A clean start is better than an overbuilt structure.

3. Define ownership

Every active workspace should have a clear owner. The owner does not need to do all the work, but they should keep the workspace tidy and make sure open questions move forward.

4. Use AI Hub to structure messy input

When notes, meeting transcripts, or files become hard to read, use AI Hub to turn them into summaries, briefs, and action lists.

This is especially useful after meetings, research sessions, or client calls.

5. Review tasks regularly

Tasks are only useful if they stay current. Set a weekly rhythm:

  • What is done?
  • What is blocked?
  • What needs a new owner?
  • What can be removed?

6. Keep sensitive material intentional

Only add files and notes that belong in the workspace. If something is private, temporary, or sensitive, label it clearly and avoid unnecessary sharing.

The practical rule

If a teammate joins the workspace tomorrow, they should understand the current state of the work within ten minutes.

Try it in Notra

Create one workspace for an active project. Add an overview page, a decisions page, and one meeting note. Then use AI Hub to turn the meeting note into action items.
